Introduction & Purpose
QDA is soliciting competitive bids from qualified janitorial and custodial service providers for routine cleaning and maintenance of its facilities. Vendors are invited to review the scope of work outlined herein and submit a comprehensive proposal detailing their qualifications, methodology, and pricing.
All submitted bids will be evaluated based on experience, service quality, compliance with the specified scope of work, and overall cost. QDA reserves the right to accept or reject any bid at its sole discretion.
Scope of Work
The selected vendor shall be responsible for performing the following services in accordance with the frequencies and standards described below.
Section A - Daily Recurring Tasks
The following services shall be performed on each scheduled business day: Vacuum all carpeted office areas
Empty all office and break room trash receptacles and replace liners as necessary Clean and wipe down break room counter and tabletop surfaces
Clean and sanitize all main area countertops
Clean and sanitize all restroom facilities, including toilets, urinals, sinks, mirrors, and floors
Mop all rubber flooring areas
Clean and sanitize all door push bars and pull arms
Dust all surfaces, shelves, and countertops throughout the facility Clean and sanitize all testing laboratory tables and chairs
Clean the boardroom tables and all accompanying chairs
Section 8 - As-Needed Services
The following services shall be performed as conditions require:
Replenish hand soap, paper towels, toilet paper, and feminine hygiene products as needed (all consumable supplies are provided by QDA)
Clean entrance glass doors and security glass doors as needed to maintain a clean, professional appearance
• Note: Additional duties may be assigned during periods of inclement weather, including but not limited to floor mat maintenance, entryway mopping, and salt/debris removal. The selected vendor is expected to accommodate reasonable requests related to weather-related cleaning needs.
Bid Submission Requirements
All vendors submitting a bid must include the following information: Company name, address, and primary contact information
Years in operation and relevant experience in commercial janitorial services
References from at least two (2) current or recent commercial clients Proof of general liability insurance and workers' compensation coverage Itemized pricing schedule, including per-visit and monthly cost estimates Proposed staffing plan and estimated hours per visit
Description of cleaning products and equipment to be used
General Terms & Conditions
Service Frequency: As specified per the section above, a minimum of five (5) days per week, a cleaning calendar will be developed to accommodate holidays and school closures.
Supplies: All consumable products (soap, paper goods, feminine hygiene products) will be furnished by QDA
Access & Security: Vendor personnel must comply with all facility access and security protocols
Background Checks: All vendor employees assigned to this facility must have passed a background screening
Insurance: Vendor must maintain adequate liability and workers' compensation insurance throughout the contract term
Termination: Either party may terminate this agreement with thirty (30) days written notice
