The site for placement is located at 4785 I-55 N Frontage Rd Jackson, MS 39206.   Hinds County Board of Supervisors reserves the right to waive irregularities and to reject any or all bids submitted.   BID REQUIREMENTS The Hinds County Board of Supervisors desires to contract with a specialized Heating, Ventilation, and Air Conditioning Company for the installation of a new chiller to be located at 4785 I-55 N Frontage Rd Jackson, MS 39206.   The company will submit a bid in a sealed envelope. Clearly label the sealed envelope with “Hinds County Emergency Operations Center- Chiller Replacement Bid”. The bid is due no later than October 1, 2025 at 9:59 a.m.   Certified check or bid bond for five percent (5%) of the total bid, made payable to Hinds County, must accompany each proposal.   The HVAC Company shall in their Bid: 1. Provide all relevant information that describes the project in sufficient manner. 2. Provide a detailed timeline for project completion. 3. Submit information on recent projects of similar complexity and scope. 4. Submit proof of appropriate liability insurance including worker’s compensations policy coverage. 5. Submit a statement acknowledging the warranty term from the date of completion.   The Hinds County Board of Supervisors intends to award a contract to the HVAC Company who can provide the best project meeting the goals of the Board and based on schedule, cost, and quality. The Board reserves the right to interview prospective HVAC contractors and reject any or all bids submitted in response to this Request for Bids. The Board further reserves the right to negotiate the terms and conditions of any final Contract for Services.   Questions or requests for clarifications or additional information related to this Request for Bid shall be directed by email or phone to: Edward Kyser, Maintenance Director 601-968-6637 ekyser@co.hinds.ms.us   SCOPE OF WORK The Scope of Work described below is not all inclusive.   Removal of existing chiller unit Mechanical and electrical installation of the replacement chiller Replace chilled water valves at the chiller 100 nominal tons 208 vac/60hz Wide ambient Software to control chiller by computer   WORK SCHEDULE AND CONDITIONS Responders are encouraged to visit the site to become familiar with the property and equipment to obtain all information that may be necessary for preparing the proposal. Preparation of the bid proposal, including any interviews, presentations, and inspections shall be at the Bidder’s cost.   Bids will be opened on October 1, 2025 at 10 a.m. in the Hinds County Board of Supervisor’s Room, 1st Floor Chancery Courthouse, 316 South President Street, Jackson MS 39205.   The Adjusted Price will be calculated from all the Bidders, with final negotiations to follow.   WARRANTY Bidder agrees to warranty all labor, parts and refrigerant furnished under the contract for at least 1 year from the date of completion.   MINORITY PARTICIPATION Hinds County has a minority participation goal of 30 percent. Contractors will be required to provide documentation of their best efforts to solicit minority contractors and the percentage of the total contract to be performed by minority businesses.
